How fees work

Where every dollar goes, and when.

This page explains the structure of a Zonipay account: what is charged, what is held, what is paid out and on what schedule. The numbers themselves are set at review and written into your merchant agreement. Here they appear as letters.

A worked example

One order, from charge to payout.

Illustrative only. Each letter stands for a value in your own agreement; none of them is a real figure.

  • A order total paid by the buyer
  • R your rate per successful transaction
  • H reserve share, set according to your volume
  • D reserve holding period
01

Charge

The buyer pays Zonipay, the merchant of record. The receipt is from Zonipay on behalf of your store.

collected = A
02

Fee

Our fee is a percentage of each successful transaction, taken from the amount collected.

fee = A × R
03

Reserve

A share of the net amount is held as a rolling reserve, then released after the holding period.

held = (A − fee) × H
04

Payout

The rest moves to your connected payout account and out to your bank every two business days. The held share follows after D.

paid = A − fee − held

TransactionsA percentage of each successful sale

Your rate R applies to each successful transaction, on the amount the buyer paid. It covers the merchant of record service, card processing, the hosted checkout, the compliance scanner, dispute handling, reporting and support.

If your agreement includes any fixed fees, they are listed there with their amount and frequency before you sign. Fees are deducted from your balance and never charged to your buyers by us.

RefundsReturned to the buyer, deducted from you

When an order is refunded, the refunded amount goes back to the buyer's original payment method and is deducted from your balance. Whether the original fee is returned, and whether a refund carries its own cost, is stated in your agreement.

Every account follows our buyer refund standard: wrong, damaged or undelivered items are refunded or replaced. You can offer more generous terms than ours, never less. The refund policy has the detail.

DisputesWe answer the chargeback

When a buyer disputes a charge with their bank, the disputed amount is taken from the merchant of record by the card network and held against your balance while the case is open. We build and submit the response, with the research-use attestation record attached and the tracking and proof of delivery you send us within 5 business days of our request.

  • Dispute won: the amount returns to your balance.
  • Dispute lost: the amount stays with the buyer.
  • Any dispute fee: stated in your agreement.

More in our dispute policy.

Rolling reserveA share held, then released

A rolling reserve sets aside a share H of each day's net sales and releases it after the holding period D. It exists because refunds and disputes can arrive weeks after a sale, and as merchant of record we owe the buyer either way.

Each day's held amount is released on its own date, so the reserve rolls: once you are past the first holding period, releases arrive as steadily as sales. Held and released amounts are separate lines in your reporting.

The reserve share is set according to your volume at review, written into your agreement, and reviewed as your history grows.

Payout timingEvery two business days, automatically

Buyers pay Zonipay. Proceeds net of our fee, refunds, disputes and the reserve move to your own connected payout account and are paid out to your bank every two business days, without a request from you. Each payout lists the orders it contains, so you can reconcile it line by line or export it as CSV.

If a payout is ever held, for example while a critical compliance finding is open, we tell you why and what releases it. See payouts.

CurrencyPriced and settled in one currency

Your checkout presents prices in the currency set for your account, and payouts are made in your account's settlement currency. If a buyer's card is issued in another currency, any conversion on their side is applied by their bank.

If your agreement allows charging or settling in more than one currency, it states how conversion is handled and what it costs.

TaxesYours to declare, figures from us

Sales tax, VAT and similar taxes on your sales are your responsibility, including registration, collection where required and filing. Zonipay issues the receipt as merchant of record; when you charge tax at checkout, it is shown separately on the buyer's receipt and in your reporting.

You are also responsible for taxes on your own income and on the payouts you receive. Monthly statements give your accountant the figures they need, order by order.

LeavingClosing an account

You can close your account by giving notice as set out in the merchant agreement. After closure, we stop taking new payments, pay out your remaining balance net of anything owed, and keep any reserve until its holding period ends, so that late refunds and disputes can still be covered.

Once the last holding period has passed and open disputes are settled, the remaining reserve is released to your bank account. Your reporting and statements stay available to you for your records.

This page describes how fees are structured. Your merchant agreement and our merchant terms are what bind both of us.
